SHORT ANSWER
Prepare the office plan, user and device counts, required data outlets, Wi-Fi, phones and cameras. Ask suppliers to separate equipment, cabling, installation, testing and documentation, and to clarify warranty and exclusions.
Start with use, not outlet count
Employee count is not device count. Computers, IP phones, printers, access points, cameras and point-of-sale devices may all need connectivity.
Include expected growth so capacity and cable routes can be discussed before the office is finished.
Prepare for the site survey
Plans are helpful, but ceilings, walls, power routes and the communications-room location can affect implementation. Current photos also help.
- Office plan and room uses
- Current and expected device count
- Internet entry point and rack location
- Existing cabling and equipment information
- Available installation periods
Wi-Fi requires more than floor area
Coverage is affected by walls, device density, interference and access-point placement. Ask how coverage, staff and guest networks, and commissioning will be assessed.
Compare line items, not only totals
A useful proposal identifies models, quantities, cabling, configuration, tests, licences and recurring costs.
Clarify capacity, management, warranty, delivery time, VAT and excluded site works.
- Equipment and licences
- Cabling, labelling and configuration
- Testing, documentation and training
- Availability, timeline, tax and exclusions
Review the handover
Confirm outlet locations and labels, agreed services and test results. Administrative access should be handed to authorised staff with support and warranty boundaries documented.
